Automation FAQs
This FAQ gives straight answers to the questions we hear most from businesses considering robotic process automation, agentic AI and intelligent document processing: what it costs, how long it takes, what happens to your team and how your data is protected. If your question isn’t here, ask us directly.

Getting Started and Cost
Yes. Most small businesses start with just one process, like data entry or invoice handling, which keeps the cost low and usually shows a return within weeks.
Pricing depends on the number and complexity of the processes, the systems involved and whether you want us to run and maintain the bots afterwards. We scope a pilot first, so the first quote covers one clearly defined process and you can see the result before committing to more. See our services for what a typical engagement includes.
The best first candidate is high-volume, rule-based and painful today: invoice processing, data entry between two systems, report preparation or document intake. Our assessment ranks your processes by effort saved versus effort to automate so the first project pays for itself quickly.
No. RPA works through the screens and APIs your systems already have, and document processing sits in front of them. You keep your CRM, ERP, accounting or claims software; we connect to it. Where a system has no API, bots use its existing interface.
RPA, AI and Document Processing Basics
Basic tools generally handle one narrow task. RPA can mimic how a person interacts across multiple systems, handling more complex, multi-step processes without someone stepping in at every stage.
RPA follows fixed rules: if the invoice matches the purchase order, post it. Agentic AI handles the steps that need judgement, such as deciding how to resolve a price mismatch or which team should handle an unusual claim, and can plan a sequence of actions itself. Most real processes use both: AI for the decisions, RPA for the reliable execution.
OCR converts an image of text into characters. Intelligent document processing goes further: it identifies which characters are the invoice number, claim amount or policy date, checks them against your rules and delivers structured data to your systems, with confidence scores and human review of anything uncertain.
UiPath, Microsoft Power Automate and Blue Prism for RPA; AI models for document extraction and agentic workflows; and native integrations for Salesforce, HubSpot, Dynamics 365, Zoho, SAP, NetSuite, Odoo and most accounting and claims platforms. We recommend the tool after understanding the process, not before.
Implementation and Timelines
Depending on how complex it is, simple data entry automation can be set up and tested within a few weeks, especially if the process is well-documented before work begins.
Assessment of the process and systems, a pilot on your own data, then build, test and go-live, followed by support. You see extraction or bot results on real documents before the wider rollout, and each phase has a defined scope so there are no surprises. Read how this played out for other teams in our case studies.
It shouldn’t. Bots and document pipelines are built and tested alongside your current process, then switched over once accuracy is proven. Your team keeps working as normal until go-live.
A process owner for a few hours a week during assessment and testing: to walk us through the process, answer questions and check results. We handle the build, integration and documentation.
People, Security and Support
Usually not. Most small businesses use it to remove the repetitive stuff so employees can focus on customer service, sales, and decisions that actually need a human touch.
EvolveX Technologies is ISO 27001:2022 certified. Bots run inside your own environment or a dedicated one, credentials are stored in encrypted vaults, every action is logged, and we sign NDAs and data processing agreements as standard. Read more on our About page and in our Privacy Policy.
Every automation includes exception handling: anything the bot cannot complete is routed to a person with the details, never silently dropped. After go-live we monitor, maintain and update the automations as your systems and processes change, under a support arrangement agreed at the start.
Tell us which process eats the most hours in your team. We will reply to arrange a short call, assess the process with you and propose a pilot on your own data. Contact EvolveX Technologies or book a 30-minute meeting from the button in the header.
Still Have a Question?
Every business runs its processes a little differently, so the honest answer to most automation questions is “it depends on yours”. Send us the question along with a line about the process, and we will answer it on your own terms. You can also explore our automation services, the industries we work in and our automation blog.
